1. What this service is
The FULGME Academic Year Planner is a free web-based planning tool offered by the Forum for United Leaders in Graduate Medical Education (FULGME) for professionals who manage medical education programs. It provides a personal, private planner organized around the academic year. By creating an account or using the planner, you accept these terms.
2. Your account
- You sign up with an email address and a password. Keep the password to yourself; you are responsible for activity under your account.
- One person per account. Do not share an account among a team.
- For help with your account, including changing your email address or resetting access, contact info@fulgme.org.
3. Your data and your privacy
- Everything you enter is private to your account. Separation between accounts is enforced by database security rules, not just by the design of the page.
- Your data is stored in a database operated by Supabase, FULGME’s hosting provider, in a United States region. The planner application itself is served from GitHub Pages.
- FULGME does not read the contents of your planner in the normal operation of the service. Administrative access exists, as it does for any hosted service, and would be used only to operate or troubleshoot the service at your request, or where the law requires it.
- FULGME can see basic account records: your email address, when the account was created, and when it last signed in. FULGME does not sell or share your information, and there is no advertising.
- The planner offers a built-in export. You can download a complete copy of your data at any time from the Data and backup page, and you are encouraged to do so regularly.
4. What not to store here
This planner is for planning. It is not a medical record system, not a personnel system, and not an accreditation system of record. Do not store:
- Protected health information about patients.
- Confidential performance information about identifiable trainees, faculty, or staff, such as evaluation narratives, remediation detail, or disciplinary matters. Keep those in your institution’s own systems.
- Anything your institution’s policies prohibit placing in an external service.
Marking an item complete in the planner records that you did the work. It is not evidence that an accreditation requirement has been met.
5. About the built-in content
The month-by-month prompts describe the usual rhythm of the academic year in medical education. They are a prompt to check, not a substitute for checking. Deadlines set by accrediting bodies, application services, and matching programs change from year to year. Confirm every date against the current published schedule of the responsible organization and against your own institutional calendar before relying on it.
6. Availability and warranty
- The service is provided as is, without warranty of any kind. FULGME aims to keep it available but does not guarantee uninterrupted access.
- FULGME is not liable for losses arising from use of the planner, including missed deadlines. The export feature exists so that your work is always recoverable by you.
- FULGME may modify or discontinue the service. If the service were ever to be discontinued, reasonable notice would be given so you can export your data.
7. Ending an account
- You may stop using the planner at any time. To have your account and all its data deleted, email info@fulgme.org from the address on the account; deletion is permanent.
- FULGME may suspend an account that is being used contrary to these terms.
8. Changes to these terms
These terms may be updated. The current version will always be available from the planner’s sign-in page, and material changes will be noted there. Continued use after a change means you accept the updated terms.
